Health, Safety and Environment (HSE) Policy


At Charismight, we are committed to maintaining the highest standards of health, safety, and environmental protection in all our maritime consultancy and other operations. Our goal is to ensure a safe and healthy work environment for our employees, clients, partners, and stakeholders while reducing our impact on environment and promoting sustainable maritime practices.

Objectives:

• Prevent injury and ill-health of personnel involved in our operations.
• Ensure compliance with applicable HSE legislation, IMO regulations, and industry standards.
• Integrate HSE considerations into all consultancy, auditing, inspection, and training services.
• Continually improve HSE performance through training, monitoring, and innovation.

• Promote environmental sustainability through pollution prevention and resource efficiency

This policy applies to all verticals of Charismight and our employees, clients, partners, and stakeholders. 

Code of Ethics Policy


Purpose:

The purpose of this Code of Ethics is to define the standards of conduct expected from all personnel representing Charismight. As a professional maritime consultancy firm, we are committed to conducting our operations with the highest level of integrity, transparency, professionalism, and respect for maritime laws, clients, colleagues, and the environment.

Scope:

This Code applies to:

• All employees, contractors, consultants, and representatives of Charismight

• All activities undertaken on behalf of the company, including client engagements, audits, inspections,     training sessions, and office operations

Core Principles:

Integrity and Honesty:

• Conduct all activities truthfully and fairly.
• Avoid falsification of records, reports, or qualifications.

• Never engage in bribery, corruption, or any form of dishonest behavior.

Compliance with Laws and Regulations:

• Comply with all applicable international, national, and maritime laws and regulations,
including IMO conventions, flag state laws, and port regulations.
• Respect client-specific policies and regulatory requirements.

Confidentiality:

• Comply with all applicable international, national, and maritime laws and regulations,
including IMO conventions, flag state laws, and port regulations.

Conflict of Interest:

• Avoid situations, where personal interests conflict with professional duties.

• Disclose any real or potential conflicts of interest to management as soon as identified.

Professional Conduct:

• Provide maritime consultancy services competently, impartially, and with due care.
• Refrain from misrepresentation or exaggeration of capabilities or findings.
• Maintain a high standard of technical and ethical behavior in line with industry best 
   practices.

Respect and Fairness:

• Treat colleagues, clients, and third parties with dignity and respect, regardless of 
   nationality, culture, gender, religion, or role.
• Promote a workplace free from harassment, discrimination, or intimidation.


Reporting Violations:

• Employees are encouraged to report any suspected breaches of this Code of Ethics to their 
supervisor, HR, or designated ethics officer.
• All reports will be treated confidentially and investigated appropriately, without retaliation.

Disciplinary Action:

Violations of the Code of Ethics may result in disciplinary actions, including but not limited to:

• Verbal or written warnings.
• Suspension or termination of employment or contract.

• Legal action where applicable.


Acknowledgment:

All employees and contractors are required to acknowledge and adhere to this Code.

Review:

The Code will be reviewed annually and updated as necessary to reflect evolving ethical

expectations and industry standards.

Security and Cybersecurity Policy


Purpose:

The purpose of this policy is to establish a framework to protect Charismight's information assets, systems, and infrastructure from security threats, unauthorized access, data breaches, and cyberattacks. We are committed to safeguarding the confidentiality, integrity, and availability of all data entrusted to us.

Scope:

This policy applies to all employees, contractors, consultants, and third parties who access or manage Charismight's information systems, data, and physical assets.


Policy Statements:

Information Security:

• All information assets, including client data, proprietary information, and operational
   records, shall be protected against unauthorized access, disclosure, modification, or
   destruction.
• Access to sensitive information shall be granted based on the principle of least
   privilege and on a need-to-know basis.

Cybersecurity Measures:

• Firewalls, antivirus, anti-malware, and intrusion detection systems will be
   implemented and maintained to protect IT infrastructure.
• Regular vulnerability assessments and penetration testing shall be conducted to
   identify and mitigate risks.
• Strong password policies and multi-factor authentication (MFA) shall be enforced for
   system access.
• All software and systems must be kept up to date with the latest security patches and

   updates.

Employee Awareness and Training:

• All employees shall undergo cybersecurity awareness training regularly to recognize 
  and respond to security threats such as phishing, social engineering, and malware.
• Employees must immediately report any suspicious activity or security incidents to the 

   management.

Incident Response:

• A clear incident response plan will be maintained to promptly address and mitigate 
  security breaches or cyber-attacks.
• All incidents shall be documented, investigated, and reviewed to prevent recurrence.

Physical Security:

• Physical access to offices, servers, and data centers shall be controlled and monitored 
   to prevent unauthorized entry.
• Confidential documents shall be securely stored and disposed of properly when no 
   longer required

Compliance and Continuous Improvement:

• The company will comply with all relevant national and international laws, regulations, 
   and industry standards related to information security and cybersecurity.
• This policy will be reviewed periodically and updated as necessary to address evolving 
   threats and business needs.

Mental Well-being and Prevention of Sexual Harassment Policy


Purpose:

Charismight Maritime Consultancy is committed to providing a safe, respectful, and inclusive work environment free from sexual harassment and supportive of mental well-being. This policy aims to prevent sexual harassment, promote awareness, and foster a culture that values mental health and emotional safety

Scope:

This policy applies to all employees, contractors, consultants, and visitors at Charismight, covering all workplace settings and work-related activities.

Prevention of Sexual Harassment:

Definition:

Sexual harassment includes unwelcome sexual advances, requests for sexual favors, verbal or 
physical conduct of a sexual nature, or any behavior that creates a hostile or offensive work 
environment.

Zero Tolerance:

Charismight has zero tolerance for sexual harassment in any form and is committed to taking 
immediate and appropriate action against violations.

Reporting Mechanism:

• Employees are encouraged to report incidents of sexual harassment without fear of 
   retaliation.
• Reports can be made confidentially to the designated Internal Complaints Committee 
  (ICC) or Human Resources.

Investigation and Action:

• All complaints will be promptly and thoroughly investigated.
• Appropriate disciplinary action, up to termination, will be taken against those found 
   responsible.

Support for Victims:

Charismight will provide support, counseling, and protection to victims of sexual harassment.

Mental Well-being:

Commitment:

Charismight recognizes the importance of mental health and is dedicated to creating a 
supportive work environment that promotes mental well-being.

Awareness and Education:

• Regular programs and workshops will be conducted to raise awareness about mental 
   health issues and reduce stigma.
• Employees will be encouraged to seek help without fear of discrimination.

Support Services:

• Access to confidential counseling and mental health resources will be made available.
• Flexible work arrangements and reasonable accommodations will be provided when
   needed.

Workplace Environment:

• Charismight promotes work-life balance, stress management, and a positive
   organizational culture.
• Bullying, discrimination, or any behavior detrimental to mental health will not be
   tolerated.

Responsibility:

Managers and supervisors are responsible for fostering an environment of respect and support.
• Employees are encouraged to look out for their own well-being and support colleagues.

Implementation and Review:

• This policy will be communicated to all employees and incorporated into onboarding 
programs.
• Regular reviews will be conducted to ensure its effectiveness and relevance.

• Feedback from employees will be encouraged to improve support systems.

Social Media Policy


Purpose:

The purpose of this policy is to establish clear guidelines and standards for the use of social media by employees and representatives of Charismight to ensure that all social media interactions align with our Quality Management System (QMS), company values, and regulatory requirements. This policy aims to protect the company's reputation, ensure consistent messaging, and promote transparent and ethical online communication.

Scope:

This policy applies to all employees, contractors, and partners of Charismight who use social media platforms in any capacity related to their role within the company. It covers social media accounts officially owned or managed by the company, as well as personal accounts when referring to the company or its products, services, and stakeholders.

Definitions:

Social media:

Platforms that allow users to create and share content or to participate in social networking. These include but are not limited to Facebook, Twitter, Instagram, LinkedIn, YouTube, and emerging platforms.

Official Social Media Accounts:

Social media accounts that are directly managed by Charismight for purposes related to branding, marketing, customer service, or corporate communication.

Personal Social Media Accounts:

Social media accounts managed by individuals, which are not directly related to the official communication of Charismight.

Social Media Usage Guidelines:

Content Quality and Consistency:

• All content posted by employees or representatives on official company social media accounts must meet    the company's quality standards, including adherence to established branding, accuracy, and            ​            appropriateness.
• Content must be fact-checked to avoid misinformation.
• All posts should maintain a professional tone that aligns with Charismight's values and corporate culture.
Audio, video and photos concerning companies’ business are to be posted on social media only by                 graphic team of the company after proper approval from top management.

Confidentiality and Privacy:

• Do not share confidential company information, proprietary data, or any sensitive material on social media     unless authorized.
• Personal data of customers, employees, or stakeholders must not be disclosed without proper consent, in     accordance with data protection laws and company privacy policies.

Responsibility and Accountability:

• Employees should be mindful of their online presence. Any communication that could be seen as                    representing the views of Charismight must be approved by the Graphic Team.
• Personal social media use during working hours should be limited to non-disruptive activities unless              approved by management.

Engagement and Interaction:

• Employees must interact respectfully and professionally with followers and users online. Aggressive,               offensive, or disrespectful responses are prohibited.
• All queries, feedback, or complaints received through social media should be responded to in a timely             manner, and, where necessary, escalated to the relevant department.


Compliance with Legal and Regulatory Requirements:

• All social media communication should comply with applicable legal and regulatory 
requirements, including but not limited to:
​o Intellectual property rights (e.g., copyright, trademark).
​o Advertising standards, including disclosures on sponsored posts.
​o Consumer protection laws.
​o The General Data Protection Regulation (GDPR) for jobs abroad and India's Digital 
​   Personal Data Protection Act (DPDP Act), 20

Monitoring and Reporting:

• Social media activity will be monitored regularly to ensure compliance with this policy.
• Any content that violates company standards or legal requirements will be immediately 
   addressed. Employees are encouraged to report inappropriate content or violations of this 

   policy to the QMS team or designated social media manager.

Training and Awareness:

• Company will encourage its employees to develop ethical use of social media including training the                 employees.
• All employees must receive training on social media usage as part of their onboarding process, which will      include the proper handling of company-related information, privacy guidelines, and expectations for    online conduct.
• Ongoing training and updates will be provided to ensure that employees remain aware of any changes to       the policy or legal requirements.

Consequences for Non-Compliance:

Failure to adhere to this policy may result in disciplinary action, including but not limited to:

• Warning or reprimand.
• Temporary suspension of social media privileges.

• Termination of employment, depending on the severity of the violation.

Review and Continuous Improvement:

This policy will be reviewed annually as part of the company's QMS review process to ensure its
relevance, compliance with regulations, and effectiveness. Any necessary revisions will be made,
and employees will be informed of these updates.

Approval and Effective Date:

This social media Policy was approved by Charismight senior management on 15-April-2026. It is
effective immediately and supersedes any previous versions of social media-related policies.
